Tags

This page manages the tag vocabulary itself. Applying tags happens on the records; when to use a tag rather than a link or a field is covered in Tags, links and the knowledge graph.

A tag

Three properties:

• Name.
• Colour, which is what makes a tagged list readable at a glance rather than a wall of words.
• Kind, which scopes the tag to one part of the app.

Why kind matters

Without kinds, every tag picker in the app would offer every tag ever created — document classifications mixed in with deal labels mixed in with note topics. Kind partitions the vocabulary so each picker offers only what is relevant.

Choose the kind when you create the tag, and expect to have a handful of small vocabularies rather than one large one.

Keeping it small

Tags are cheapest when there are few of them. A tag applied to exactly one record does no grouping — it is a note written in the wrong place. If you find yourself creating a tag per record, the thing you want is probably a custom field with a fixed set of options, or a link to the record it really relates to.

Renaming and deleting

Renaming a tag is safe: the records keep it, and they show the new name.

Deleting removes it from every record carrying it. There is no "merge tags" operation, so consolidating two near-duplicates means re-tagging by hand — a good reason to agree the vocabulary before it spreads.
