Documents
Documents lists every previewable attachment you can see — PDFs and images — regardless of which record it was attached to. The concepts behind it are in Attachments and documents; this page is how to use it.
The list
Each row is a file plus the record it hangs off, so you can see at a glance that a receipt belongs to an expense and a contract belongs to a deal. Selecting a row opens the file inline.
Filtering
- Search over filename and title.
- Document type — your own classification, with a count per type.
- Untyped — the files with no type set. This is the useful one: it is the backlog of things uploaded in a hurry.
- Where — which kind of record the file is attached to. Anywhere is the default.
- Date, on the document date rather than the upload date.
Clear resets everything at once.
Why only PDFs and images
The library is for documents you look at. Anything else — a spreadsheet, an archive — remains attached to its record and reachable from there; it is simply not part of a visual library.
Working through the backlog
The routine that makes this page pay off: filter to untyped, open each file, set a type and a document date, add a party if it matters. Ten minutes of that turns an unnavigable pile into something you can answer questions from — which invoices did we receive in March, where is that signed contract.
