Accounting setup
This is the prerequisite for the whole finance module. Until it is configured, invoices and expenses have nothing to book against.
Company details
Name, address, city, and your BTW-id — the VAT identification number that appears on invoices you issue. There is also a bericht, a standing message included on invoices, for payment terms or a bank reference.
Chart of accounts
The grootboekrekeningen — the ledger accounts your invoice and expense lines are booked to. Each has a code, a name, and a category.
Kancil seeds a starting set on first use, so you are editing a sensible chart rather than building one from an empty page. The seed is idempotent: it will not duplicate itself if the setup is revisited.
BTW codes
The VAT codes available on document lines. Each maps to a rate and to a rubriek — a box on the VAT return. That mapping is what makes Reports able to produce a return rather than just a total.
Codes are seeded alongside the chart of accounts, and editable.
Defaults
Three defaults save you choosing on every line:
- Default revenue account, for invoice lines;
- Default expense account, for expense lines;
- Default BTW code.
They are starting values, overridable per line. Set them to whatever covers the majority of your work and treat the exceptions as exceptions.
Getting it right first
It is worth spending time here before entering documents. Changing a VAT code's rubriek after a quarter of invoices have used it does not retroactively fix what was already booked, and the discrepancy will show up in the return rather than in an error message.
